Terms of Service

1. Service Minimums & Staffing

  • Minimums: All in-person assignments have a 1.5-hour minimum. All virtual assignments have a 1-hour minimum.

  • Staffing: For events 3 hours or longer, two interpreters are required to ensure service quality and prevent fatigue.

  • Travel Fees: Travel fees are calculated based on location and are separate from hourly rates.

2. Billing & Payment Terms

  • Rates: Summit Echo Interpretations, LLC offers tiered rates for nonprofit organizations, private businesses/weddings, and individual appointments.

  • Invoicing Timeline: Invoices are typically issued within 14 business days following the completion of services.

  • Grant/Pre-payment Requests: If a client requires payment processing prior to service delivery (e.g., for grant compliance), a "Pro-forma Invoice" may be issued upon request. All such payments are considered deposits and will be reconciled against the final service invoice.

  • Standard Payments: Payment is due within 30 days of the invoice date via ACH or check. A late payment penalty of 1.5% per month applies to all outstanding balances after the 30-day period.

  • Credit Card Surcharge: We accept credit card payments for your convenience. To cover the cost of processing, a surcharge of 2% of the total payment will be applied to all credit card transactions. This surcharge is not applied to payments made via ACH, check, or debit card. Please notify us in advance if you intend to pay by credit card.

3. Cancellation & No-Show Policy

  • Cancellations: Cancellations made less than 24 hours before the scheduled booking time will incur a 50% fee. Full charges apply once an interpreter is onsite at the scheduled time, regardless of service completion, due to labor and travel costs.

  • No-Show Policy (Events under 3 hours): If no client arrives within 20 minutes of the scheduled start time, the interpreter will consider the assignment a "no-show" and may depart. Full charges apply.

  • No-Show Policy (Events 3 hours or longer): To ensure coverage for late arrivals, the interpreter will remain onsite for the duration of the scheduled assignment. Full charges apply.

4. Service Commitment & Liability

  • Quality Commitment: Summit Echo Interpretations, LLC is committed to providing professional, high-quality language access. We hold ourselves to measurable standards of preparation and accuracy for every assignment.

  • Technical/Environmental Factors: Summit Echo Interpretations, LLC is not liable for service interruptions or quality issues caused by external technical or environmental factors beyond our control.

  • Usage: Services are for live consumption only. Recording or broadcasting of sessions requires prior written consent.

  • Confidentiality: All assignments are held in strict confidentiality. Unless governed by a signed Non-Disclosure Agreement (NDA), Summit Echo Interpretations, LLC reserves the right to cite the project or client name as a professional reference for portfolio purposes.

5. Governing Law These terms shall be governed by and construed in accordance with the laws of the State of Colorado.
